Job Summary :
Assistant Manager – Facilities will pay a vital role in ensuring REACHLOCAL India employees have a safe, efficient, and effective work environment. This role will manage facilities, coordinate office logistics, plan and implement administrative procedures like regular maintenance and scheduled service for office equipment’s and manage outsourced services like housekeeping and security. This role involves overseeing a team and ensuring seamless coordination across various departments.
Role & Responsibilities:
Assistant Manager – Facilities will need to be hands-on on various administrative tasks
and work with the Facility Manager to deliver on the following tasks:
- Upkeep of office administrative facilities and ensure availability of daily miscellaneous requirements to provide harmonious work culture to employees
- Act as the key liaison for supervision of house-keeping staff, security staff, and admin staff
- Ensuring effective rendering of admin services including facilities, office equipment, pest control, mineral water, AC service etc to enable smooth day to day admin operations
- Allocating working space, storage space, ID cards to new joiners as well as existing employees
- To arrange the gathering of data (utilities consumption like Fuel, water) and make monthly reports to be published to the management
- Keeping records and maintaining tracker for high moving items and MIS for Admin related expenses.
- Procurement of office-related supplies in sync with budget.
- Monthly vendor bill collection, scrutiny, and submission to Facility Manager for review.
- Managing repair, maintenance & replacement of office equipment, appliances, furniture, furnishings, vehicles, building, etc. in consultation with Facility Manager
- Effective execution of outdoor office tasks related to any operating department and fulfilling statutory requirements
- Employee communication emailers drafting as per the requirement
- Completion Report to be submitted to the Facility Manager of the monthly duties and responsibilities allotted to team member .
- Ability to juggle multiple priorities/ multi-task as per the urgency
- Help and coordinate for various employee events as planned
Requirements and skills:
- Any Graduate / Diploma holder in HM / Engineering
- Knowledge about maintenance-related work like electrical, carpentry, plumbing
work - Good oral and written English communication
- Knowledge of MS Office – Word, Excel, and PowerPoint
